dtSearch indexing issues after M-Files Dec '25 update (encountered in M-Files Cloud)

Overview

We are aware of recent issue reports with the following symptoms: search indexing has stopped working, and users cannot find new content or changes from the vault using the quick search.

This may happen in the following situation:

  • The search engine is dtSearch: 
    • To check, open M-Files Admin, navigate to the vault's details, and open Index Management -> Check the Active Index category: dtSearch has two separate active indexes (for filedata and metadata). By default, they are named in a similar way as shown in the screenshot below:

  • Vault is M-Files Cloud vault:
    • To check, open M-Files Desktop settings > Document Vault Connections -> Check the document vault connections' Server column. With Cloud vault-related connections, the Server field ends with *cloudvault.m-files.com.
  • This is observed after our recent M-Files Dec '25 server-side version update on 14 December 2025.

Solution

This issue is being investigated by our product development team with ID SPY-850. You can follow up on the issue via our M-Files Release Notes with the issue report's ID.

Workarounds

The following immediate workarounds can help you find the right content in an acute problem situation.

  • Option 1 - Using the Advanced Search - requires end-user actions
  • Option 2 - Create a view - requires end-user actions
  • Option 3 - More Effective Long-Term Workaround - does not require end-user actions

With the classic M-Files Desktop, click "Search options" 

and define search criteria via the options highlighted in the following picture:

Option 2 - Create a view

With the classic M-Files Desktop, click the Create button and select View..:

Click Define Filter... and set property-based conditions as shown in the picture below:

Option 3 - More Effective Long-Term Workaround

Currently, a more effective workaround is changing the cloud vault to use Smart Search indexing. You can find more information about the Smart Search via these articles: 

If you are a Cloud Vault customer and have encountered the issue on a Cloud Vault, contact M-Files Support via the Support Portal for this workaround.

The Smart Search is a scalable and robust solution. Compared to dtSearch, it offers a faster search experience, and it also brings the ability to Configure Faceted Search in the vault.
