Overview
By default, searches and views have a limit on how many results will be returned per page. In many cases these limits can be adjusted but it is often not clear which setting affects which limits.
Multiple Sources
It is important to realize that the final limits on views can be, and often is, affected by several sources. The main sources in order are:
- The M-Files Server has settings that adjust the defaults for all searches and views. These limits will be in place if not overridden by another source.
- Common Views set by an admin when creating these views can have separate default settings that can override server defaults. So, if you adjust the limit on the server but the view was saved with a different setting as common then you might not see the changes reflected in the end search.
- Client and User settings can override all the other settings and this is by design. The goal is that end users can customize their own views as they need and those setting will be saved for that specific user and so will often override any other settings.
The behavior that will be seen is that when new views are created, they will pull from one of the sources above but after being saved the user can adjust as they desire so future changes often will not be applied to the end users without resetting that user, view, or search back to defaults.
Setting Common Defaults
Setting defaults can be done by someone with admin or 'Manage Common views' rights in the vault.
Whenever you are in a search or a view in the classic M-Files Desktop, right-click in any open space and select 'Save As Common Display Settings…'
This will save the current settings of the search or view that that admin is seeing as the defaults per source #2 above.
Note 1: Setting the views as common will not cause these settings to override the end user settings (source #3) by default. Instead, you would need to select the 'Remove all users' custom display settings in this view'
Note 2: Default searches have limitations for the common settings compared to views.
Reset to Defaults
If you have a view that you want to reset to one of the sources listed above, right-click when in the search or view in the classic M-Files Desktop and select 'Reset Settings to Defaults…'
From there you can choose:
- Reset to Common Defaults (This will reset to pull settings from Source #2 listed above)
- Reset to Program Defaults (This will reset to pull settings from Source #1 listed above)
Note: After resetting the search or view you may need to clear the M-Files cache and/or do a log out and back into the vault for the changes to be reflected.

Maximum Number of Documents per Listing
Limit on search results when not using object grouping and the limit per page when cycling pages of results that return a single object type.
Maximum Number of Search Results in Paginated Group
Limit on the number of related objects per object type when viewing the related object list. If more results are available, the "Show more results" link is shown. Controls the behavior of the classic M-Files Desktop only; corresponding setting for the new M-Files Desktop below.
Maximum Number of Objects in Object Count
Limit on results for the first page in a default search when using pagination.
Maximum Number of Virtual Folders
Limit on how many folders, not sub views, will be returned in a given level of a view without swapping to a folder selection dropdown.

Limit on the results in a regular search per grouping level. Does NOT affect views, only searches.

Maximum Number of Search Results in Paginated Group
The maximum number of search results to show on one page of an object group in the listing area. If more results are available, you can use the Next and Previous links to browse the results. Corresponding setting for the classic M-Files Desktop in the search limits section above.
