Managing email and push notifications

When your admin has enabled email and mobile push notifications in the vault, you can manage which notifications you want to receive.

Turning email and mobile notifications on or off

To set yourself to receive or not receive email and push notifications:

  1. Open your user menu in the top-right corner of the app.
  2. Select Settings > Notification settings.
  3. Select Receive email and push notifications to turn email and push notifications on or off.
    Your admin can set some notification messages to be sent to all users. This means that you can get some notifications, for example, for assignments even when you have set yourself not to receive notifications.

Adding notification rules

To add a notification rule:

  1. Open your user menu in the top-right corner of the app.
  2. Select Settings > Notification settings.
  3. Select Add.
    Result:The Notification rule properties dialog opens.
  4. In Name, give your rule a descriptive name.
  5. Optional: If you are permitted, change your rule to be a common rule.
    Private rules set notifications to be sent only to you. With a common rule, you can set notifications to be sent to all or specific vault users. This is useful when you want many users to receive the same notification.
  6. In When to create a notification, select when you want M-Files to create a notification:

    When a selected event occurs

    This sets M-Files to create a notification when the selected events occur.

    1. In Events, select which events cause M-Files to create a notification.
    2. Add a filter if you want to set the rule for only specific vault content. For example, only invoices or project plans.
    3. In Delivery, set M-Files to send the notifications for each event or as a summary once every day.
    4. If you do not want to be notified about events caused by you, select Exclude notifications of events caused by me.
    When an object matches the conditions of the filter

    This sets M-Files to create a notification when the filter set in the Filter section matches vault content.

    1. Next to the option name, set M-Files to create the notification for matching objects only once or repeatedly.
    2. In Filter, select Add filter and set the conditions that the vault content must match for M-Files to create the notification.
    3. In Delivery, select on which weekdays you want M-Files to send the notifications.
    4. If you do not want to be notified about events caused by you, select Exclude notifications of events caused by me.
  7. Select Save.

Editing and removing notification rules

To edit or remove a notification rule:

  1. Open your user menu in the top-right corner of the app.
  2. Select Settings > Notification settings.
  3. Select a rule in the Notification rules list.
  4. Select Edit or Remove.
  5. Do one of these:

    When you selected Edit: Make your changes in the Notification rule properties dialog and select Save.
    When you selected Remove: Select Remove in the confirmation dialog.

Example: Daily notifications for new orders

This example shows how you can set M-Files to send you a daily summary of all new orders. In this example, the vault contains the class Order.

  1. Open your user menu in the top-right corner of the app.
  2. Select Settings > Notification settings.
  3. Select Add.
  4. In Name, give your rule a name. For example, New orders.
  5. In When to create a notification, select When a selected event occurs.
  6. In Events, select New document or other object.
  7. Select Add filter.
  8. In the text field, enter Class, select = as the operator, and Order as the value.
  9. Select Apply.
  10. In Delivery, select Send a digest message once a day.
  11. Select Save.
M-Files will now send you a summary of new orders each day.
