Checking amount of documents added after a certain period

Overview

In some cases, it is needed to know how many documents have been created to a vault after a certain period, like one month.

This support article provides instructions on checking how many document objects have been created to a vault with two different options.

Solution

Option 1. Using the M-Files Client.

Create a new view with at least the following filters:

  • Object type = Document (Status tab)
  • Created >= 1.1.2024 0.00.00 (Properties tab)

Entering the view shows how many Document objects have been created to the vault after 1.1.2024

Option 2. Using M-Files Admin

Enter M-Files Admin < Content Replication and Archiving < One-time Export < 'Objects and Files' Tab < Export objects and files < 'Use a search filter' < Define

Similar to Option 1. Enter at least the following filters:

  • Object type = Document (Status tab)
  • Created >= 1.1.2024 0.00.00 (Properties tab)

Press Ok after the filters have been set and click 'Preview' on the bottom of the window. This will calculate how many documents match this filter.

Note. Calculation will take longer the more documents match this filter. It's better to use option one if it's known that there are multiple thousands of new documents.
