External Repository indexing with IDOL/SmartSearch needs Meta- and Filedata flags

Overview

From M-Files 21.10 onwards, to start indexing in Combined mode i.e., with IDOL or Smart Search, External Repositories' indexing of MetaData and FileData should be enabled.
 

Description

M-Files indexing includes three different modes of indexing: MetaData, FileData and Combined. Usually, MetaData and FileData modes are used with dtSearch search engine. Combined mode is used with IDOL or SmartSearch engines. The picture below demonstrates a common setup in Advanced Vault Settings > Search > Indexes, when IDOL is used: Meta- and FileData with dtSearch have been disabled, while Combined with IDOL is enabled.

In External Repository settings we also have settings for indexing. Although most of the settings are done in the previously mentioned Search branch, there are similar setting in the External Repositories branch as seen in the picture below.

There are similar Metadata, File Data and Combined sections in the settings. However, the logic with Enabled settings is different than in the Search branch. Logically, if you use dtSearch as a search engine, you turn Enabled flags Yes. Not so evident is that if you use IDOL or Smart Search, you also must enable Metadata, File Data flags in addition to Combined flag. Note, that you do not have to actually enable dtSearch from the Search branch. By using the settings in the pictures above, M-Files will start the indexing of the external repository if the search engine is IDOL.
