In M-Files, you can create views to quickly find information that you use frequently. You can think of them as saved searches. You can create your own personal views, while administrators can set up common views that are available to all vault users.

Views update automatically. Each time you open a view, M-Files automatically searches for all the objects that match the view’s metadata search criteria. The same document can appear in different views.

Personal and common views

Personal views are views that only you can see. These views are accessible under My Views in the All tab. When you create your own view, you tell M-Files what you want to see based on certain metadata criteria. For example, you can create a view to find all documents that have been tagged as a proposal in the metadata card. For example, Class = Proposal.

Common views are views that are meant for all vault users. These views are accessible in your All tab. To create common views, you must be a system admin or have one of these administrative rights in the vault: Full control of vault or Manage common views and notification rules. With these administrative rights, you can set a view as a common view and edit the view permissions. To do this, select Show view options () > Edit view permissions.

You can also create a personal copy of a common view to edit it.
