Concurrent license amounts do not match between M-Files Manage and M-Files Admin

Last updated on 29 December 2025

M-Files Manage

Overview

This article describes how concurrent licenses are shown for admin users in M-Files cloud vault.

Admin users can check how licenses are reserved from either M-Files Manage or M-Files Admin and may notice that the amounts are different.

M-Files Manage displays the amount reserved in all the available instances in the cloud environment.

Example: 2 users logged into "cloud server instance 1" and 3 users logged into "cloud server instance 2", making the total reserved licenses 5.

M-Files Admin connects to a single server instance in the cloud and displays the amount reserved in that one.

From the previous example, 2 users logged into "cloud server instance 1", making the total 2.

This can cause a situation where you think a user should be able to use a concurrent license to login, but there are no concurrent licenses available.

Solution

You can configure automatic logout times; documentation is available here. This helps in most cases to keep unused licenses free.

During an acute need for a concurrent license:

  • Login to M-Files Admin and view logged-in users.
    • If you can't see concurrent licenses listed, select the server from the left side tree view.
    • Use action "Disconnect" and "Connect" as needed.
  • Use the action "Force Logout" for inactive concurrent license users.
