Searchable PDF conversion (OCR) not working for specific image file format

Overview

M-Files OCR module provides robust functionality to convert images, files, and unsearchable PDF files into searchable PDF. Sometimes conversion might not work for some specific file extension, for example .png image file. In this kind of situation M-Files client will not show popup window for conversion option when dragging and dropping image file into M-Files, or for existing files. In another situation, OCR conversion does not work as expected with external sources for scanned document.
 

Solution

 

M-Files client-side implementation:

For enabling automatic OCR prompt while dragging and dropping images for all M-Files client users, you will need to define the Advanced vault Setting in M-Files Admin.

Go to document vaults in M-Files Admin -> {Vault} -> Configurations -> Advanced vault settings -> Scanning & OCR -> File Formats. Add the necessary file format in capital letters here if the extension is not available under File Formats.
 

M-Files server-side implementation:

If you are configuring Searchable PDF (OCR) function through external sources which is handled directly by M-Files server, then you should also check and set the below registry key accordingly.
 

Key Location: HKEY_LOCAL_MACHINE\Software\Motive\M-Files\< M-Files version>\Server\MFServer\ScanningAndOCR

Value Name: FileExtsForOCR

Value Type: REG_MULTI_SZ

Value Data: PNG (each in new line)
